Sooner or later it happens: a carrier no longer honours the agreements, or you simply stop working with them. On Truckscanner you have two distinct actions to handle the situation, and it matters not to mix them up because their consequences are very different. This page explains what reporting does, what removing does, when to choose one over the other and what happens next.
The two actions you have on every carrier in your network — «Report» (the flag) and «Delete» (the trash) — compared side by side: what changes for the carrier, for you and for the rest of the network. Then the step-by-step of both: how to fill in a report, what the «Suspended» status means, what Truckscanner's team sees, and how to remove a carrier from your network.
The two actions: report or remove?
Open the «Carriers» section from the left-hand menu (the «Operational & Transport» group). At the end of each table row, on carriers in «Active» status, you'll find two small icons: the flag and the trash. They are the two actions you can perform on the carrier — hover over them with the mouse and a tooltip identifies each one.
These are two roads not to be confused:
- Report (the flag icon) — it's a complaint about non-compliant conduct. The carrier moves to «Suspended» status, Truckscanner's team opens a review and — while the case is open — the carrier no longer receives loads. It's a serious, collaborative action: the suspension applies to the whole network, not just to you. Use it only for documentable behaviour (abandoned load, repeated delays, documents not in order).
- Delete (the trash icon) — it's a local removal. The carrier disappears from your network and from the load selectors, but keeps existing on Truckscanner and working with other forwarders. It isn't a complaint: use it when you simply no longer collaborate with that company. It's reversible — you can re-add them whenever you want.
If you only want to take a carrier off your list because you no longer work with them, use «Delete». Reporting is not the way to «archive» a carrier: it locks the company across the whole platform and opens a review case with our team. Reserve it for genuine cases of professional misconduct.
| Report 🚩 | Delete 🗑 | |
|---|---|---|
| What it's for | Reporting misconduct | Taking the carrier off your network |
| Carrier status | Becomes «Suspended» | Disappears from your list |
| Effect on the network | Applies to all forwarders | Only to your company |
| Involves Truckscanner's team | Yes, opens a review | No |
| Reversible by you | No (the team closes it) | Yes, re-add them whenever |
| Requires a reason | Yes, mandatory | No, just confirm |
Reporting a carrier
Reporting is available only on carriers in «Active» status (an «Invited» carrier has no account yet; one already «Suspended» can't be reported again).
- In the «Carrier network» table, find the carrier's row and click the flag-shaped icon at the end of the row (tooltip «Report»).
- The «Report carrier» dialog opens. At the top you read the message: «You are reporting DL Fleet S.r.l. for conduct not compliant with the network's professionalism rules. The carrier will be suspended and our team will verify the situation.» (the name is the one of the carrier you picked).
- In the «Report reason» field, describe what happened. The placeholder guides you: «Describe the non-compliant conduct...». Be concrete and factual — for example: «Repeated failure to meet agreed delivery windows: 3 mandates over 6 hours late in the last 30 days, despite phone reminders.» The field is mandatory: while it's empty, the confirm button stays disabled.
- Click the lime «SEND REPORT» button.
If you change your mind, the «CANCEL» button closes the dialog without doing anything.
What happens after the report
As soon as you confirm, a green confirmation toast appears: «Report sent. The carrier has been suspended pending verification.» and the table updates:
- the carrier moves to «Suspended» status (red badge) — you'll now also find them by filtering with the «Suspended» tab, whose counter has gone up by one;
- the flag icon disappears from their row: you can't report the same carrier twice. Only the trash remains.
From this moment the carrier no longer receives load offers via Leo, neither from you nor from the other forwarders in the network, as long as the case stays open. The report is delivered to Truckscanner's team, who open a review case and — if needed — contact you for further documentation.
Truckscanner's network is collaborative: that's why every report is manually reviewed by our team and the reason is mandatory. The suspension isn't permanent — it's a «pending verification» state: when the investigation ends the team closes the case and the carrier is either reinstated or removed from the platform.
What the other side sees
The reported carrier, on their next login to Truckscanner, no longer finds the operational dashboard: they see a suspension screen with the message that their account is under review and an invitation to contact support. They cannot apply to new loads nor receive calls from Leo while the case stays open.
A confirmed report isn't auto-revertible: it has already triggered the suspension and the case
with the team. If you notice the mistake right away, write to support at info@truckscanner.ai
with your VAT, the carrier's VAT and the reason: the team archives the case as «reporter error»
and the carrier returns operational.
Removing a carrier from your network
Removal takes the carrier off your network. It's available on any carrier in the table, regardless of status (Active, Invited or Suspended).
- In the table, find the carrier's row and click the trash-shaped icon at the end of the row (tooltip «Delete»).
- The «Remove carrier» confirmation dialog opens with the question: «Are you sure you want to remove DL Fleet S.r.l. from your network?» (with the name of the carrier you picked).
- Click the «REMOVE» button to confirm. If you've changed your mind, «CANCEL» closes the dialog without touching anything.
What happens after the removal
Confirming with «REMOVE» brings up the green toast «Carrier removed from the network»: the row disappears from the table and the carrier will no longer show up in the selectors when you create or assign a load.
The removal is local to your company: you no longer see them, but the carrier keeps existing on Truckscanner and collaborating with the other forwarders in the network. It isn't a suspension and doesn't involve our team.
No problem: removal is reversible. Open the «+ ADD CARRIER» dialog at the top right, enter the carrier's VAT and — since their company is still active on the platform — the system recognises it right away and proposes re-adding it to your network with one click, no re-invite, no onboarding. See the guide Adding and inviting a carrier.
The same actions from the detail drawer
You aren't forced to use the table's small icons. Clicking a row opens the carrier's detail drawer: at the bottom you'll find the same two commands as text buttons, «REPORT» (only on active carriers) and «DELETE». The behaviour is identical — they open the same confirmation dialogs described above. For the full map of the drawer see the Carriers Overview.
