Applying as a freight forwarder
The forwarder access path to Truckscanner isn't an open registration but a pilot application: you fill in a 2-step form, the system validates the company data against public registries, our commercial team reviews the application and contacts you within 48 hours. Meanwhile, after verifying your email, you get access to a gated platform demo to explore on your own and chat with our Supervisor AI Sara.
If you're a carrier (even a single-truck owner-operator) you're NOT on the right page: see Getting started with Truckscanner for the difference between the two paths, and then "Signing up as a carrier" (coming soon). Carriers don't go through an application: direct sign-up plus documentary onboarding.
Before you start: what you'll need
A handful of real fields — the form is meant to verify that your company is a credible partner, not to profile you for email marketing. Have these handy:
- Your company VAT number (Italian or foreign) and country code.
- The official legal name (we'll auto-fill it where possible).
- Your registered office address.
- A business email for the contact who will receive the verification email and our follow-up.
- A password at least 8 characters long.
- A rough idea of what you'd like to automate or solve with Truckscanner — no technical detail needed, but the more specific you are the more focused the first commercial call will be.
Time to fill: 3-5 minutes.
Step 1 — Company data
Open /register and click the "APPLY" button on the left card "Freight forwarders and logistics operators" (see Getting started for the CTA map). You land on a page titled "Candidatura Partner Spedizioniere" (the platform UI is currently Italian-only in dev) with the claim "Il network Truckscanner è riservato a pochi partner selezionati. Compila il form per candidarti. Ti contatteremo entro 48 ore." (i.e. "The Truckscanner network is reserved for a few selected partners. Fill in the form to apply. We'll contact you within 48 hours.").
What you do, in order:
- Check the progress bar at the top (callout 1 in the screenshot): two numbered steps — «Azienda» and «Account». You're on step 1 of 2.
- Pick the country of your VAT from the dropdown (default «IT - Italia»). The country drives the format validation and points the lookup at the right public registry.
- Type the VAT number or tax code in the next field (callout 2, placeholder
«es. 01234567890»). The system runs an automatic lookup:
- For Italian VATs we query the VIES registry (the EU public database for VAT validation) and the chambers-of-commerce registries to fetch legal name and address.
- On a match, you see a toast «Dati azienda compilati automaticamente» (Company data auto-filled) and the fields below populate themselves.
- On no match (newly incorporated company, data not yet propagated, country outside the registries we query) the message «Non trovata nei registri.» (Not found in registries.) appears, plus a «Compila manualmente» (Fill in manually) button: click it to unlock the fields and type them yourself.
- Fill or confirm «Ragione sociale» (legal name): the exact value as it
appears in your registry extract (e.g.
Acme Logistics SRL). - Fill «Indirizzo sede legale» (registered office address): start typing the address in the magnifier-icon field «Cerca indirizzo…» (Search address) and pick from the autocomplete dropdown which proposes real addresses (Google autocomplete). If autocomplete returns nothing, click «Compila manualmente» to split the fields (Street / City / Province / ZIP) and enter them by hand.
- Click «AVANTI» (Next) at the bottom right (callout 3). If a required field is missing or invalid you'll see red error messages and the page will auto-scroll to the first error.
The VAT lookup is a single call against public institutional registries (VIES, chambers of commerce): we don't pass your data to marketing partners, we don't build behavioural profiles, we don't share anything with competitors. The only internal use is figuring out who you are before the first call.
Step 2 — Profile, motivation, consents
After clicking «AVANTI», the progress bar advances to step 2 «Account» and the profile section opens.
What you fill in, in order:

Personal profile (section «Il tuo profilo» — Your profile):
- Nome / Cognome (first / last name) of the contact. These are the names we'll use in the first call and to identify you as company admin.
- Telefono: country prefix selector (default
+39) plus the number. Used only for commercial follow-up, no spam. - Email: must be reachable right now, because at the bottom of the form we send the verification email and without it you can't access the demo.
- Password (placeholder «Min. 8 caratteri») and Conferma password: the two fields must match and be at least 8 characters long.

Motivation (section «Raccontaci la tua esigenza» — Tell us your need, callout 1): the textarea below «Perché sei qui? Cosa vorresti risolvere o automatizzare?» (Why are you here? What would you like to solve or automate?). The placeholder lists the most useful examples («Dispatch dei carichi, tracking spedizioni, comunicazione con vettori, gestione clienti…»). Below the textarea sits the note «Non obbligatorio, ma aiuta il nostro team a preparare il primo contatto.» (Not required, but it helps our team prepare the first contact.)
It looks optional but it's the most-read fieldTechnically the textarea isn't blocking on submit, but it's the first thing the commercial team reads when reviewing the application. Three substantive sentences ("we're a north-east FTL forwarder, 2,500 loads/year, we struggle with phone time spent on dispatch and tracking") change the quality of the first call vs. an empty field. Worth 30 seconds.

Consents:
- Check «Accetto i Termini e Condizioni» (Terms and Conditions, link opens in a new tab to the Iubenda PDF).
- Check «Accetto la Privacy Policy» (same).
- Both required. If you forget one you'll see the red message «Devi accettare i Termini» / «Devi accettare la Privacy» and the submit will be blocked.

Click the final CTA «CANDIDATI» (Apply) at the bottom right (callout 2). While the system works the button changes to «Invio candidatura...» with a spinner.
What happens after clicking «CANDIDATI»
In sequence, in a few seconds:
- Green confirmation toast in the top right with the message «Candidatura inviata con successo!» (Application sent successfully!).
- Backend account creation: your company is registered with status
WAITLISTED(awaiting review by our team), your user is created as admin of that company. - Verification email dispatched to the address you provided. Notification catalog entry:
- Automatic redirect to «Controlla la tua casella email» (Check your
inbox, URL
/verify-email), with text like "We sent a verification email tomario.rossi@azienda.it. Click the link in the email to activate your account." (the address is the one you typed). For email-step details see Getting started — what happens after submitting.
After email verification: the gated demo
Once you click the link in the verification email you land on the confirmation page with the message «Email verificata!» (Email verified!). At this point for forwarders the page shows a «VAI ALLA DEMO» (GO TO DEMO) button, not «VAI ALLA DASHBOARD»: that's the key difference of the forwarder path vs. the carrier one. Clicking it takes you to /demo, an explorable version of the platform reserved for WAITLISTED accounts.
What you can do in the demo, in short:
- Look at how the dispatcher console is structured (the daily dashboard for whoever plans the loads).
- Talk to Sara, our Supervisor AI for the Control Tower (tracking + comms).
- Have a dedicated AI avatar to chat with for around 15 minutes about how Truckscanner solves your specific use case — the equivalent of a first commercial call, but self-serve, asynchronous and available 24/7.

In parallel: the commercial team contact
While you explore the demo, our commercial team reviews your application using the form data (verified VAT, legal name, the motivation you wrote) and contacts you within 48 working hours. Goals of the call:
- Confirm the numbers (volumes, geographies, load types).
- Verify the network fit: Truckscanner doesn't work for every profile (tiny spot volumes don't have immediate ROI).
- Align expectations on pricing, onboarding phases, technical integration if needed.
- If the fit is there, switch the company from
WAITLISTEDtoACTIVEand configure the first operational access.
